to the Group Strategic Operations and Corporate Development Executive Vice President!

 

As the Executive Assistant and Administrative Specialist, you will play a pivotal role in providing extensive administrative and technical support to our senior management. This is a position of great responsibility, requiring unwavering confidence and a proactive approach to ensure the smooth functioning of our leadership team.

These are going to be your tasks in a nutshell:

  • Provide comprehensive personal assistance to our director, with a focus on organizing and coordinating international business trips, ensuring seamless travel experiences.
  • Manage the director's calendar with precision, monitoring programs, and adeptly recording and reporting changes to ensure optimal time management.
  • Act as a conduit for the company's business development director by conveying instructions and ideas to various individuals and organizations. Facilitate the exchange of necessary information among directors.
  • Collect relevant information related to departmental tasks and offer operational support to departmental colleagues.
  • Organize and orchestrate management and professional meetings, and prepare for negotiations tied to departmental activities, handling location logistics and representative matters.
  • Play an integral role in the preparation and compilation of materials supporting managerial decisions.
  • Contribute to project administration and support project management, taking responsibility for meticulous documentation.
  • Handle the registration, organization, forwarding, and recording of incoming and outgoing materials. Ensure the seamless technical operations of the Secretariat while arranging business necessities for administrative functioning.
  • Handling the invoicing in SAP system.
  • Providing administrative assistance and calendar management related to the other duties of the MOL COO.

What does it take to be our colleague?

  • College or University degree in Finance/Economics/Business or equivalent
  • Minimum 3 years’ experience in similar assistant job
  • Ability of carrying out non-routine tasks on the basis of a little information
  • Capacity of effective, rapid, accurate working
  • Loadability, stress tolerance
  • Excellent communication and interpersonal skills
  • Reliability and resilience
