  • Greeting, escorting, and directing arriving guests
  • Serving executives and VIP guests (e.g., preparing and serving refreshments, coffee, etc.)
  • Handling incoming phone calls and emails
  • Booking meeting rooms and preparing them for meetings and conferences
  • Managing incoming and outgoing mail and packages
  • Supporting office administration (e.g., maintaining records, documentation)
  • Collaborating with internal departments and organizational units
  • Actively participating in the preparation and organization of in-house events
  • Maintaining a neat and professional appearance of the reception and guest areas
  • Keeping inventory and regularly restocking executive kitchen supplies (refreshments, snacks, coffee, tea, etc.)
  • Supporting executive assistance tasks: administrative support, document management, meeting preparation
  • Ensuring continuous on-site presence in a rotating work schedule (7:30–16:00 and 11:00–flexible finish based on executive availability)
  • Event coordination: scheduling, organizing, and tracking appointments, meetings, and events
  • Internal communication: maintaining contact with other departments and organizational units
  • Office maintenance: ensuring the secretariat’s tidy and professional appearance; managing office supply procurement
  • Procurement: ordering office supplies, stationery, and other essential materials
  • Minimum of a high school diploma
  • Business-level English proficiency and native Hungarian language knowledge
  • Previous experience in a similar role
  • High degree of independence in work
  • Team-player attitude
