Responsibilities

  • Effective support of the company's functionality in the area of administration, ensuring the smooth operation of the reception. Ensuring the operation of the office, preparing documents for the finance department, managing master data in information software.
  • Ensuring the smooth running of the reception. Welcoming guests and helping them with their needs. Ensuring the warm welcome of all guests
  • Proper administration of exams and supporting the examinees. Preparing the training room before the start of trainings
  • Handling incoming calls
  • Managing and registering incoming and outgoing posts and invoices. Scanning incoming invoices. Scanning contracts and uploading them to Navision
  • Ensuring the permanent availability of office supplies. Ordering them from the suppliers. Ensuring the permanent availability of refreshments, coffee and snacks for the guests and colleagues
  • Communication with the suppliers
  • Supporting the administrative processes of the company
  • Providing accommodation and tickets to employees on business trips
  • Organization of business meetings according to instructions from the business department
  • Assistance with tenders, offer processing, preparation of business contracts, documents, etc.
  • Supporting the Back Office and Finance Team in monthly closing
  • Setup daily exchange rate in Navision
  • Helping in the substitution of other Back Office members
  • Submit all documents to the external accounting company on time
  • Management of contacts, suppliers, customers in the information SW
  • Entering purchase orders
  • Management of the contract archive as well as the financial-accounting documents according to the legislation.
  • Other backoffice support for the team 

Requirements

  • Experience in a similar administrative position
  • Secondary school education
  • Knowledge of working on a PC at an advanced level (MS Office - MS Word, MS Excel, MS Outlook, Internet Explorer)
  • Good communication skills and pleasant demeanor. Loyalty to the company, team spirit, independence, proactive approach, high work commitment, sense of responsibility
  • Excellent knowledge of Hungarian (oral and written), English - intermediate level, other languages an advantage

Nice-to-have

  • Experience in Microsoft Navision
