Responsibilities

We are looking for a highly capable, detail-focused, patient Financial Assistant to join our team and support financial operations across several companies, with a core focus on property management and property development.
This role suits someone with strong administrative and financial experience who is comfortable working in a fast-paced environment with changing priorities. You will be organised, accurate, and proactive, with the ability to manage multiple workstreams at once and keep records and processes running smoothly.
You will take ownership of day-to-day finance administration, including invoice processing, bookkeeping support, and documentation, while also providing practical support to management and colleagues across the wider business.
Key Responsibilities
Finance & Reporting

  • Maintain and update financial records and support bookkeeping processes.
  • Process incoming and outgoing invoices, ensure approvals are in place, and track payment deadlines.
  • Record financial transactions accurately in internal systems and maintain a clear audit trail.
  • Support monitoring of tax-related obligations and liabilities and help prepare relevant documentation.
  • Assist management by compiling basic summaries and reviewing balance sheet and key financial indicators.

Administration & Documentation

  • Provide administrative support across multiple companies, primarily in real estate.
  • Manage the transfer of utility accounts and related documentation, ensuring a smooth handover process.
  • Maintain structured digital and physical filing, ensuring documents can be located quickly when needed.
  • Help develop and maintain a practical document storage system on company computers and laptops, aligned with team needs.

Coordination & Communication

  • Liaise with clients, suppliers, and partner companies to request and exchange information and documentation.
  • Handle email and phone communication professionally and consistently.
  • Track deadlines for property-related tasks and transactions and follow up to ensure timely completion.

General Assistant Support

  • Provide day-to-day support to the manager and other employees to keep operations running efficiently.
  • Arrange and purchase airline tickets for business travel and keep all related confirmations and invoices organised.
  • Place online orders for the business (supplies, equipment, services), track delivery status, and file invoices/receipts correctly.
  • Support meeting coordination, scheduling, and preparation of notes/minutes where required.

Requirements

  • Minimum secondary education (education in economics, finance, or business is an advantage).
  • At least 5 years’ experience in an administrative/assistant role (finance exposure strongly preferred).
  • Intermediate computer skills, including Word, Excel, email, and document management.
  • Strong communication skills in English, both written and spoken.
  • Excellent attention to detail, reliability, and a structured approach to work.
  • Able to work independently, prioritise effectively, and support a team environment.
  • A patient, calm approach and the ability to handle repeated follow-ups and changing priorities professionally.

Nice-to-have

  • Experience supporting multiple companies or multi-entity operations.
  • Real estate, property management, or property development exposure.
  • Strong problem-solving skills and the ability to take initiative.
