Responsibilities

As an Executive Assistant / Office Manager, you are proactive and highly organized to support day-to-day operations. This role combines office management, support for executives and team members, operational coordination, and administration tasks, making it ideal for someone who enjoys variety and taking ownership. We are looking for a “good cultural fit”. Therefore, you will have a good sense of humor and a positive attitude. You will also be a team player and comfortable working within a multinational team.

• Support with calendar management, travel arrangements, meeting preparation, and follow-ups.
• Manage office operations and ensure the workspace runs smoothly.
• Act as the main point of contact for office-related matters, visitors, vendors, and service providers.
• Coordinate office supplies, equipment, mail, and facilities issues.
• Support accounting administration, including invoice handling, receipt tracking, and expense processing.
• Help with onboarding, offboarding, and general HR administration.
• Organize internal meetings, team events, and occasional company gatherings.
• Maintain filing systems, documents, and internal records.
• Improve office processes and bring a practical, problem-solving mindset.

Requirements

• Previous experience as an Office Manager, PA, Team Assistant, or Executive Assistant.
• Strong organizational skills, attention to detail and business mindset.
• Comfortable working independently in a dynamic startup environment.
• Working in an international environment.
• Excellent interpersonal and cultural sensibility and communication skills in German and English
• Interest in Information Technologies and confident with MS Office package and common admin tools.
• Discreet, reliable, and service-oriented.
• Hands-on attitude and willingness to support wherever needed.

Nice to have
• Chinese language skills.
• Basic knowledge of bookkeeping, invoicing, or HR administration.
• Experience in a startup, scale-up, VC, or SME environment.
• Experience in semiconductor or other deep tech / hardware environment.
