Introduction:

Key Responsibilities:
The Executive Assistant will provide administrative support to the Production Management team, including coordinating meetings, managing calendars, preparing reports, and maintaining accurate records. The ideal candidate will have excellent communication and organizational skills, with the ability to work in a fast-paced environment and prioritize multiple tasks simultaneously.
- Provide administrative support to the team, including coordinating meetings, managing calendars, and preparing reports
- Maintain accurate and up-to-date records, including inventory levels, production schedules
- Coordinate travel arrangements, expense reports, and other administrative tasks as needed
- Develop and implement effective filing systems, both physical and digital, to ensure easy access to information
- Create engaging presentations, reports, and other visual aids to support business decisions and communicate complex information to stakeholders
- Take a proactive approach to identifying and resolving issues, anticipating needs and taking initiative to resolve problems before they arise
- Collaborate with other departments, such as facility management and procurement, to ensure seamless operations and effective communication
- Provide exceptional customer service to internal and external stakeholders, including responding to inquiries and resolving issues in a timely and professional manner
Requirements:
You are a solution-oriented, pro-active and motivated. You are able to communicate confidently in English and have experience in creating and delivering accurate presentations
- Excellent communication and organizational skills, with the ability to work in a fast-paced environment and prioritize multiple tasks simultaneously
- Proficiency in Microsoft Office, including Excel, Word, and PowerPoint
- Experience with enterprise resource planning (ERP) systems, such as SAP or Oracle, is an asset
- Ability to maintain confidentiality and handle sensitive information with discretion
- High school diploma or equivalent required; post-secondary education in a related field, such as business or logistics, is an asset
- Advanced level of English language skills, both spoken and written
- 1-3 years of experience in an administrative role
