Állás leírása
Responsibilities
- Coordination of activities between BD Managers, Bid Manager, Marketing, Comms, and technical teams
- Ensuring visibility of tasks, dependencies, and next steps
- Documentation of BD team operations and updating materials
- Maintenance and updating of CRM (HubSpot) based on team inputs
- Preparation of simple pipeline summaries and reports
- Coordination support of proposal preparation including timelines, inputs, and document organization
- Assistance in collecting and structuring materials for bids and tenders
- Maintenance of proposal templates and documentation
- Organization of internal meetings, preparation of agendas, and tracking follow-ups
- Coordination of logistics for conferences, ESA events, and business travel
- Organization of business travel including flights, accommodation, and logistics
- Support in preparation of presentations and internal materials
Requirements
- 2–5 years of experience in team assistance, project assistance, personal assistance, or other complex administrative roles
- Experience working in a structured, multi-stakeholder environment
- Strong organizational and multitasking skills
- High attention to detail and reliability
- Ability to work independently and manage multiple priorities
- Proactive communication skills
- Working level of English (written and spoken)
Nice-to-have
- Experience with Sales Support and CRM systems (HubSpot preferred)
- Experience in EU projects, public sector, aerospace, or similar structured environments
- Experience supporting events or marketing activities
- Exposure to bid or tender processes
