Responsibilities

Apex Lab · Fully remote · 2 PM – 10 PM CET
We're looking for a Sales Operations & Project Coordinator to be the operational backbone of our US client pipeline. You'll make sure deals move forward, meetings happen, follow-ups don't fall through the cracks, and the right people have the right context at the right time. You'll work closely with our Account Manager and founding team to keep our sales and delivery operations running smoothly — from the first client intro through to project kickoff and beyond.
This is not a passive admin role. You'll have real responsibility for keeping the pipeline healthy, flagging when things aren't moving, and making sure the commercial side of the business stays on track.
What you'll bring
  • Sharp attention to detail and follow-through — you notice when something hasn't happened and you make it happen
  • Experience working in a CRM (any major tool counts — HubSpot, Salesforce, Pipedrive, or similar)
  • Excellent written English — you'll be drafting client-facing emails and meeting summaries that go out under the team's name
  • Availability to work 2 PM – 10 PM CET (8 AM – 4 PM ET) to overlap with our US team
  • Comfort with async communication and independent prioritization — you don't wait to be told something is overdue
  • Bonus: background in a consultancy, tech company, or B2B sales environment
What you'll do
  • Own the health of our active deal pipeline — track where every opportunity stands, what the next step is, who owns it, and by when
  • Run a weekly pipeline review: scan every active deal, flag what's overdue, follow up with owners, escalate what needs escalating
  • Manage ongoing communication with external partners and vendors — follow up on pending approvals, track submission statuses, flag delays before they become problems
  • Schedule and coordinate every client meeting: calendar invites, agenda prep, pre-reads, post-meeting summaries, and CRM updates
  • Draft routine follow-up emails (chasing responses, checking in on proposals, coordinating signatures) — the Account Manager reviews and sends, but you write the first draft
  • Coordinate handoffs between sales and delivery when a project is confirmed — make sure the transition is clean and documented
  • Keep the whole operation honest: if something hasn't moved and no one has noticed, you're the one who makes noise about it
Work Setup
Fully remote, 2 PM – 10 PM CET (8 AM – 4 PM ET). You'll work closely with our US Account Manager and our founding team. We're an async-first team — strong written communication is more important than being always online.
