Responsibilities

We are looking for a motivated Operations Assistant to join our team and contribute to the smooth running of our programs and events.

Key responsibilities:
    • Handle learner management tasks, including program applications, course enrolments, learner inquiries, and technical support.
    • Perform general administrative duties: scheduling meetings, managing correspondence, and maintaining digital systems, including Learning Management System (LMS)
    • Maintain the ITA Academy social media accounts for the various courses, track promotional and marketing plans for ITA Academy courses in collaboration with the ITA Communications department.
    • Assist with financial administration, including processing expenses and tracking payments.
    • Manage ordering and shipping of training materials for events and courses.
    • Coordinate travel and accommodation arrangements for ITA Trainers.
    • Support the processing of event registrations, and event ticket sales.
    • Prepare and format documents, reports, and presentations for the team.
    • Provide support for the onboarding and ongoing work of interns.

Requirements

  • A diploma or degree in a Communication, Education, Business Administration or other relevant field.
  • Previous work experience (1-2 years) in an operation, administrative, or coordinator role, ideally in education training administration.
  • Experience in producing and generating reports.
  • Excellent written and verbal communication skills in English.
  • Strong organisational, administrative and time-management skills, with the ability to handle multiple tasks and deadlines.
  • Strong focus on customer service and quality.
  • Comfortable using complex digital tools, including LMS, and other learning content creation tools.
  • Team player with a strong ability to quickly learn new systems and processes.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Valid working/residence permit

The International Testing Agency (ITA) is an international organisation constituted as an independent not-for-profit foundation based in Lausanne, Switzerland. Its mission is to protect the integrity of sport and the health of athletes by delivering high-quality antidoping programs to International Sports Federations (IFs), Major Event Organisers (MEOs) and Anti-Doping Organisations (ADOs) that seek increased transparency and independence.
