Állás leírása

Responsibilities

You will support the General Manager and local team in administrative coordination and operational follow-up. Your objectives are to:
  • Ensure daily administrative tasks are handled efficiently
  • Maintain organized documentation and trackers
  • Support coordination with external partners and authorities
  • Help create a structured and professional office environment
  • Facilitate communication with VIDOUKIN international locations

Support Administration
General Management & Coordination
  • Assist the General Manager with scheduling, meeting organization, and follow-up.
  • Prepare basic reports and collect information from internal teams.
  • Support preparation of presentations, documents, and internal communications.
  • Track action items and deadlines requested by management.
Office & Daily Administration
  • Handle daily office administration (supplies, deliveries, basic vendor follow-up).
  • Organize travel arrangements (flights, hotels, transport).
  • Maintain structured filing of administrative documents.
  • Support onboarding logistics for new employees.
  • Ensure smooth office coordination and internal communication.
Finance & Accounting Preparation
  • Collect invoices and prepare documents for accounting.
  • Support expense tracking and document organization.
  • Liaise with external accountant for document requests.
  • Maintain supplier and contract documentation.
Legal & Authorities Coordination
  • Support exchanges with lawyer and external service providers.
  • Prepare documents for social security, tax, and administrative authorities.
  • Track administrative deadlines and compliance documents.
  • Support company documentation and local compliance processes.
Visa & Mobility Support
  • Prepare documents for visa and work permit processes.
  • Coordinate invitation letters and administrative paperwork.
  • Track visa and permit validity for international employees.
  • Assist colleagues from other VIDOUKIN locations with local administrative needs.

Requirements

Who You Are
  • Organized, detail-oriented, and reliable
  • Strong sense of responsibility and follow-through
  • Comfortable handling multiple tasks
  • Good communication and coordination skills
  • Able to work in an international and structured environment
  • Willing to learn and support different administrative topics
Languages:
  • Hungarian mandatory
  • English required
  • Chinese is a plus
Experience matters, but attitude, organization, and trust matter more.
