Responsibilities

Reporting to the Head of ITA Branch Office, the Branch Office Assistant will be overseeing the Branch Office activities. The Assistant will support the Head of Branch Office in daily administration and organizational tasks related to ITA and in particular the activities of its Branch Office based in Budapest.

Tasks:
  • Day-to-day support to the Head of Branch Office.
  • Manages office administration to ensure all departments can work effectively and efficiently, oversees and organizes office operations and procedures.
  • Keeps an inventory of office supplies and orders new materials and distributes them as needed.
  • Supports human resources processes by scheduling appointments, maintaining records and information of employees.
  • Supports the onboarding of new colleagues.
  • Maintains employee information by entering and updating employment and status-change data.
  • Provides secretarial support by entering, formatting, and printing information.
  • Schedules meetings and sends meeting invites to attendees.
  • Makes arrangements for meetings and travel.
  • Operates office machines, arranges equipment maintenance and repairs.
  • Actively participates in planning and preparing for office events, such as meetings, conferences, and promotional activities.

Requirements

  • Academic degree or equivalent.
  • 3-5 years` experience in a similar role.
  • Proven experience as an Administrator, Administrative Assistant or relevant role in the field of Office management and/or HR.
  • Valid working/residency permit for EU citizens.
  • Excellent organizational and time management skills with attention detail, ability to set and manage priorities, ability to multitask.
  • Analytical abilities and aptitude in problem-solving.
  • Very good knowledge in MS Office (Excel, Word, OneDrive and SharePoint).
  • Excellent written and verbal communication skills in English. Good command of French or other languages would be an asset.
  • Customer service and quality oriented with a can-do attitude.
  • Multifaceted person who works well in a team and independently, friendly, positive, flexible and ‘can do’ attitude.
  • Ability to communicate effectively at all levels, combined with a strong sense of service, confidentiality and handling of sensitive and confidential data.
  • Interest in sport and knowledge of the international and Olympic sport environment is a plus.
