Responsibilities

Main purpose of the role:

This is a dual‑focused position combining Executive Assistant duties with a strong Project Management Officer function.

As the Executive Assistant (60%), you'll ensure the smooth running of the Consul‑General's office—managing the diary, coordinating briefings, handling enquiries, organising travel and visits, and keeping the Munich office operating efficiently.

As the Project Management Officer (40%), you'll support DBT Germany's strategic operations—coordinating meetings, supporting senior leadership engagement, managing internal documentation, analysing business intelligence, organising events, and ensuring seamless delivery of ministerial and senior visits.
You will be a central part of a high‑performing, international team that values collaboration, quality service, and creativity.

What you will do:

Administrative Support (Executive Assistant Support – 60%)

  • Provide day‑to‑day scheduling support for the Consul‑General, including arranging simple internal and external meetings and keeping diaries up to date.
  • Assist with preparing and organising documents for meetings, such as collecting briefing papers and formatting presentations.
  • Support the coordination of visit programmes by arranging logistics such as booking rooms, transport and basic itineraries.
  • Handle general office tasks including managing incoming calls, organising correspondence, and keeping shared team calendars and files updated.
  • Assist with processing travel claims, expenses and other routine administrative tasks.
  • Provide basic administrative cover for colleagues in Germany when required.

Administrative Project Support (PMO Support – 40%)

  • Help set up meetings by preparing straightforward agendas, taking notes, and recording attendance.
  • Provide administrative support for organising internal events, including booking venues, managing sign‑ups, and helping with materials.
  • Assist teams in coordinating ministerial and senior visits by updating schedules, distributing information, and maintaining shared documents.
  • Support internal governance meetings by preparing document packs and following up on basic action points.
  • Collect and enter data for internal reporting, helping to maintain simple spreadsheets and summaries.
  • Keep project documentation organised and help maintain internal communication channels such as shared inboxes or teams sites.

Other Duties

  • Provide general administrative assistance to support the overall work of the Consulate‑General, including supporting crisis exercises and responses in an administrative capacity when required.

Requirements

Our Ideal Candidate shows:

  • Full professional proficiency in German and English (written and spoken, minimum of C1 level for CEFR framework*);
  • At least one year of proven experience in a similar role, supporting a senior leader within an organisation
  • Resourcefulness and strong research skills, with the confidence to identify and propose creative solutions;
  • Strong organisational skills with the ability to manage complex workloads effectively;
  • Excellent time‑management and prioritisation capabilities;
  • The flexibility to respond confidently to competing and changing demands;
  • Advanced proficiency in Microsoft Word, PowerPoint and Excel;
  • A genuine interest in business, economics, and/or contributing to the UK–Germany bilateral relationship;
  • Enthusiasm for working in an international environment and the ability to collaborate effectively as part of a diverse team;
  • Drive, initiative and the ability to deliver high‑quality work both independently and collaboratively;
  • Excellent communication skills and the ability to engage professionally with business stakeholders and colleagues across the wider DBT network;
  • A positive, proactive attitude and willingness to take on a broad range of tasks.

What we offer

This is a full time (37,5 hours a week), fixed-term 2 year contract with the possibility of becoming a permanent contract subject to performance and funding. Salary €52,704.- rising to a maximum of approx. €59,202.- gross per annum after a qualifying period in addition to performance related pay (salary is not negotiable). Candidate must have pre-existing work authorisation in Germany in order to apply.

Staff recruited locally by the British Consulate General are subject to Terms and Conditions of Service according to local German employment law. The successful candidate will be subject to professional background check, security clearance and 6 months probationary period.

Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Germany and be prepared to ensure that right remains throughout the scope of the contract. Please note that it is your responsibility to ensure you meet the legal requirements to live and work in this country.

Start date is an indicative target start date.
