Assets Administrative Support- Portuguese Speaking

  • Procure to Pay Process Maintenance & Construction:
  • Creates purchase orders/ shopping cards for construction and maintenance team in Portugal and makes any necessary modifications and provides purchase order related information as required by the business, such as open times, due dates, and missing goods receipts.
  • Support Construction and maintenance team opening projects.
  • Process requisitions received from the business.
  • Control and give good receipts following business requirements.
  • Help to identify and resolve invoice problems and drives compliance to all BP pay-related agreements.
  • Maintain up-to-date procedures and manuals as per requirements.
  • Act as the first contact for the vendors for all matters related with payments PO’s and invoices.
  • Act as an expert / coach within the local Asset team regarding the SAP related processes.
  • Ad-hoc reporting: develop and maintain different kind of reports related to SAP, Procurement, Asset register, eMaintenance and Invoicing.
  • Register and update Budget database Capex maintenance umbrellas
  • Maintenance support:
  • Management of maintenance tickets resulting in an insurance claim.
  • Support operations and commercial team in the insurance process.
  • Reporting of maintenance performance to Insurance coordinator.
  • Reporting of insurance claims including accruals and budget to Insurance coordinator.
  • Support on the new vendors creations.
  • Create and maintain the database with the real asset register in Portugal for the equipment’s in the maintenance scope - Require information from contractors and upload in the eMaintenance tool system.
  • Support reactive maintenance tickets at eMaintenance tool, managing claims or delays
  • Get reports from the eMaintenance tool to provide the maintenance manager for different analysis
  • HSSE:
  • Support the new vendors creations and manage P2P process.
  • Record incidents in the IRIS database.
  • Bachelor’s Degree or equivalent relevant experience might be considered
  • Minimum of 3-5 years of relevant working experience.
  • Fluency in Portuguese and English.
  • Excellent knowledge of MS Office, SAP, Excel
  • Good oral and written communication skills.
  • Strong administrative and analysis skills.
