Responsibilities

  • Assist in the scheduling and coordination of fleet maintenance and repair services.
  • Maintain accurate records of fleet maintenance, repairs, and inspections.
  • Track vehicle status, service schedules, and work orders to ensure timely completion of maintenance tasks
  • Reporting, investigation and reporting of insurance cases.
  • Manage and update vehicle logs and maintenance databases.
  • Liaise with vendors and service providers to ensure necessary repairs and services are completed.
  • Prepare and process invoices for fleet-related services and maintenance.
  • Monitor and report on fleet fuel consumption, mileage, and maintenance costs.
  • Ensure compliance with company policies, regulations, and safety standards related to fleet management.
  • Assist in managing vehicle licensing and registration renewals.
  • Provide general administrative support, including managing communications, filing, and preparing reports for the Fleet and Maintenance team.
  • Help maintain inventory of maintenance parts and supplies.
  • Respond to inquiries and requests from team members regarding fleet issues.
  • Assist with any other administrative duties as needed to support the smooth operation of the fleet and maintenance team.

Requirements

  • High school diploma or equivalent; associate’s degree or relevant certification preferred.
  • Proven experience in administrative or office support roles (previous experience in fleet or maintenance environments a plus).
  • Proficiency in English and German.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Knowledge of fleet management software or maintenance tracking systems is a plus.
  • Ability to work independently and as part of a team.
  • Detail-oriented with strong problem-solving skills.
  • Ability to manage time effectively and meet deadlines.
