Office Manager and Management Assistant

About your tasks and responsibilities:

  • handling all office legal documents (contracts, rent, services etc.), assuring compliance with local and regional regulations
  • general office and business supply orders, equipment maintenance, maintenance of files and overseeing general office appearance and repair issues
  • handling personnel and / or payroll functions,  certificates, health services for employees
  • preparing welcome packs and onboarding new employees
  • maintaining company car transfer protocol, proxies, fuel vouchers according to procedures
  • sending out local announcements
  • collaborating with procurement specialist in searching and finding potential suppliers and participate in vendor’s qualification process
  • creating POs, managinng all office invoices and payments (mobile phones, rent service etc)
  • identifying and implementing opportunities for cost optimization and services improvement
  • supporting the business and the Managing Director
  • organizing meetings, events, (video) conferences, web casts, taking the responsibility for social events to activate team feeling
  • attending and participating in meetings, taking minutes or notes and performing follow-up activities

About our requirements:

  • university or college degree
  • very good communication skills in English as well as proficiency in MS Office
  • at least 2 years practical experience in similar position
  • patient, emphatic and helpful personality beside the high level of flexibility
  • if you know SAP than it is a plus but not a must have requirement
