Feladatok

Key Responsibilities
Event & Coordination Duties
  • Inform delegates about event details and provide full support throughout the event cycle.
  • Professionally use Zoom, Microsoft Office, and Google Workspace tools to coordinate tasks.
  • Search for venues, negotiate pricing, and manage venue-related requirements.
  • Handle contracts and maintain continuous communication with external partners to ensure smooth event execution.
  • Moderate events and assist with onsite or virtual execution.
  • Travel to conferences and support the operational execution of events.
  • Assist the production team with administrative and operational tasks.
  • Create and organize post-event programs while adhering to budget limits.
  • Update and maintain internal databases and spreadsheets.
  • Prepare statistical reports and evaluation summaries after events.
  • Communicate with clients, resolve issues promptly, and ensure satisfaction.
  • Manage travel and accommodation arrangements for the production team.

Finance-Related Duties
  • Maintain accurate financial records and ledgers.
  • Assist with bank reconciliations and month-end closing procedures.
  • Prepare and issue invoices in a timely and accurate manner while addressing and resolving any invoicing discrepancies.
  • Address vendor billing inquiries and manage all related documentation, including the processing of change requests such as updates to addresses, payment methods, or contact information.
  • Assist in the collections process to ensure timely follow-up and the reduction of outstanding accounts receivable balances.
  • Ensure compliance with internal financial policies and procedures.
  • Support the finance team with general accounting tasks.

Elvárások

Qualifications
  • Experience in event coordination or administrative roles is preferred.
  • Previous experience in accounting or finance roles is an advantage.
  • Proficiency in Microsoft Office (especially Excel) and Google Workspace.
  • Strong attention to detail with excellent organizational skills.
  • Ability to multitask and manage responsibilities independently.
  • Strong communication skills and a proactive, problem-solving attitude.
